Solo/Ensemble letter

Dear Parents of Solo and Ensemble Students,

Solo and Ensemble will occur Saturday, April 16th at South Effingham Middle School.

Students will need to arrive at the Richmond Hill Middle School band room by 9:30 AM.  We will need to arrive at South Effingham Middle School 30 minutes early. We begin at 11:00, so we will need to leave the RHMS band room around 10:00 AM. We will all ride the school bus together. Students may leave with parents after they perform, provided I receive a note indicating students are leaving with parents.

We will stop for lunch after we perform. We will leave South Effingham Middle School sometime around 12:30 PM. We will eat between12:30 and 1:30 PM. Students will need $5 to $10 for lunch, or they may bring a sack lunch.

We should arrive back to the Richmond Hill Middle School band room around or before 2:00 PM.

Students should wear nice casual clothes. PLEASE DO NOT WEAR JEANS OR SHORTS. PLEASE DO NOT WEAR TENNIS OR RUNNING SHOES. Wear nice casual clothes with dress shoes.

Students need to make sure they have an original score of music that has measures numbered for the judges. Students may not give a copy of the music to the judges – only originals with numbered measures.  Students performing a solo need an accompanist; this may either be a recording or someone playing piano.





GMEA Rules for Solo and Ensemble Festival

Please familiarize yourself with the rules and procedures for Solo and Ensemble Festival that are in the GMEA Handbook.  
  • Any entry may decide at any time prior to performance to perform for comments only, for which no rating will be given.
  • Adjudication sheets are available to the teacher after the list of ratings has been compiled by the festival chair.
  • All individual entrants must be bona fide students of the school or schools represented if registered by a school music teacher.
  • There are no refunds for cancellation or failure to appear.
  • All solos and ensembles in all classifications perform only one selection.
  • All solos for which accompaniments are published, must be performed with the accompaniment.  Reminder:   A performance of a solo without an accompaniment when the accompaniment part is published will result in the lowering of the performer’s rating by one division.  Recordings and tapes of the accompaniment may be used, but MUST NOT have solo part added (no play-along-with-the-melody type tapes are allowed).  The student must furnish the play-back equipment.
  • All ensemble parts must be performed by students, bona fide accompaniments excepted.  Reminder:  If all ensemble parts are not performed, the rating of the performance will be lowered by one division.
  • No “popular” music may be used.
  • The scores for judges should have the measures numbered.  Photocopies are permitted ONLY if a letter from a vendor is attached stating that the scores are on order or are presently out of print.
  • No instrumental ensemble part may be played by more than two persons unless scored for more.
  • Musical value and suitability are considered in adjudication, and music is chosen at the discretion of the director.  Wind and percussion comment sheets include the category “Suitability of Music” and require student’s grade level in school and number of years of study.
  • Memorization is not required.

Chaperone assignments

Chaperones,
Thank you so much for your patience.  Attached is the room assignment list for this weekend.  I tried to assign you to your child's room and match male chaperones to boys rooms, women to girls.  With the exception of Jenn Mabrey I was able to do that.  You may want to bring a tote bage of some kind in case your students ask you to hold any of their "stuff" while performing.  This is especially true for those chaperoning the girls!
 
The kids have worked really hard all year and we want this to be a fun and safe trip for them.  As a chaperone you will be responsible for your students when they are not under the supervision of  Dr. Warnock, Mrs. Bowden or Mrs. Newman.  The students don't want us hovering so we will be using the buddy system.  No buddy- No go!  The only exception to this is the gift shop at Symphony Hall.  There they must be accompanied by and adult and they will go in shifts.  The shop is small and we don't want to overwhelm the staff.  Each bus will have a roster and the students will be checked in with those chaperones accompanying the students on the busses.  I will be one of those.
 
I am working with the manager at the hotel to have all the rooms assigned prior to the students' arrival on the busses.  I may have to leave the Woodruff Center with Barb Smith for part of the day to do this.  This is why neither of us is assigned students specifically, but we will be available to assist generally during the entire trip.  When you arrive at the hotel I will give you your room key along with those of your students' rooms.  The students will primarily be your responsibility at the hotel until we get on the busses the next morning.  Dr. Warnock has listed the student and chaperone expectations in the packets he sent home last week.
 
The only addition I am making to that list is a request that while the students are eating at the Varsity, we try to keep everyone in the second floor dining area.  The Varsity is a large fast food restaurant that is generally very crowded on a Saturday night.  I do not require that you sit with your assigned students.  I would like you to have a visual lock on them as best you can.  If they need to use the bathroom or get more food they can do so with a buddy after informing you or another chaperone nearby, and then they must check back in.  By the time we get to the hotel, they should be pros at this.
 
I would like the students to stay together at the hotel and watch movies.  Some students may not chose to do so.  Their other option is to stay in their room.  Again, they must tell you where they are planning to be.  I may ask some of you to hang out on the floors and watch the kids that choose to stay in their rooms and visit.  We do not want the students to be wandering all over the hotel.  Again, we want the kids to have fun, but we want them to be safe too.
 
I know this is alot of information.  It really is just the parenting you already do, just with more kids.  Last year went so smoothly and I don't expect any different this year.  Thank you for volunteering.

Atlanta trip chaperones

Chaperones,
 
I am trying to finalize our plans for this weekend.  Please, if you have not let me know yet that you have already booked your room and you need the Boosters to do so, let me know.  If we book your room for you we will need payment in the amount of $69.95 ASAP.  If you write a check, please make it out to RHWBB.
 
I currently am looking for a volunteer to pull the trailer.  We have 2 possibilities.  Hopefully, at least one will work out.
 
Next, I would like to know if any of you plan to ride on the bus to Atlanta with the students?  I am assigning chaperones to busses and am interested in how many parents I have to work with.  If you could include that information in your email to me I would appreciate that as well.
 
As soon as I get information from the directors about which students are rooming together, I will pass on to you the names of the students you will be primarily responsible for.  If you have any requests, please let me know.

Urgent! Trailer driver needed to Atlanta

Winds Parents,
Things are finalizing for the trip to Atlanta this weekend.  One HUGE need we have is someone to pull the trailer with the percussion equiptment inside.  Please, if you are going to Atlanta and you have a hitch, would you consider pulling the trailer?

Atlanta Parent Meeting

Parents,
Please do not forget that there is a parent meeting for all Winds parents on Thursday following Winds practice.  I hope to see all of you there.  We will be collecting the balance of the cost of the trip at that time as well.

I know the Caleca's and Oliveira's have already taken care of their room reservations on their own.  Can you please let me know if you have already done so as well?  You may still do so if that is easiest by contacting the hotel at (770)960-1957.  Tell the reservation agent that you are staying with the Richmond Hill band and they will give you a room rate of $69.95.  As a chaperone you will also need to ask to be placed in the block of rooms reserved for the band students.

We can also include your reservation with ours.  You would just need to pay the Boosters for your room at the same room rate.  Obviously, if you are sharing your room, you will split the rate with your roommate.  Let me know how you plan to take care of your room reservation.

The countdown has begun.

When calling the Quality Inn you must say that you are "with the Richmond Hill band" to get the discounted rate that they are offering.  If you are planning to chaperone you do pay for your own room (I will send that info out in another email to chaperones only.  You can split the cost by bunking with another chaperone.).  We would like to book the chaperone rooms with the students so that you will be located near the band.  If you have already booked your rooms on your own, but you are willing to chaperone, let me know if we can put you on "the list".  Otherwise, your room may be somewhere else in the hotel, away from the band.
