Solo/Ensemble letter

Dear Parents of Solo and Ensemble Students,

Solo and Ensemble will occur Saturday, April 16th at South Effingham Middle School.

Students will need to arrive at the Richmond Hill Middle School band room by 9:30 AM.  We will need to arrive at South Effingham Middle School 30 minutes early. We begin at 11:00, so we will need to leave the RHMS band room around 10:00 AM. We will all ride the school bus together. Students may leave with parents after they perform, provided I receive a note indicating students are leaving with parents.

We will stop for lunch after we perform. We will leave South Effingham Middle School sometime around 12:30 PM. We will eat between12:30 and 1:30 PM. Students will need $5 to $10 for lunch, or they may bring a sack lunch.

We should arrive back to the Richmond Hill Middle School band room around or before 2:00 PM.

Students should wear nice casual clothes. PLEASE DO NOT WEAR JEANS OR SHORTS. PLEASE DO NOT WEAR TENNIS OR RUNNING SHOES. Wear nice casual clothes with dress shoes.

Students need to make sure they have an original score of music that has measures numbered for the judges. Students may not give a copy of the music to the judges – only originals with numbered measures.  Students performing a solo need an accompanist; this may either be a recording or someone playing piano.

GMEA Rules for Solo and Ensemble Festival

Please familiarize yourself with the rules and procedures for Solo and Ensemble Festival that are in the GMEA Handbook.
  • Any entry may decide at any time prior to performance to perform for comments only, for which no rating will be given.
  • Adjudication sheets are available to the teacher after the list of ratings has been compiled by the festival chair.
  • All individual entrants must be bona fide students of the school or schools represented if registered by a school music teacher.
  • There are no refunds for cancellation or failure to appear.
  • All solos and ensembles in all classifications perform only one selection.
  • All solos for which accompaniments are published, must be performed with the accompaniment.  Reminder:   A performance of a solo without an accompaniment when the accompaniment part is published will result in the lowering of the performer’s rating by one division.  Recordings and tapes of the accompaniment may be used, but MUST NOT have solo part added (no play-along-with-the-melody type tapes are allowed).  The student must furnish the play-back equipment.
  • All ensemble parts must be performed by students, bona fide accompaniments excepted.  Reminder:  If all ensemble parts are not performed, the rating of the performance will be lowered by one division.
  • No “popular” music may be used.
  • The scores for judges should have the measures numbered.  Photocopies are permitted ONLY if a letter from a vendor is attached stating that the scores are on order or are presently out of print.
  • No instrumental ensemble part may be played by more than two persons unless scored for more.
  • Musical value and suitability are considered in adjudication, and music is chosen at the discretion of the director.  Wind and percussion comment sheets include the category “Suitability of Music” and require student’s grade level in school and number of years of study.
  • Memorization is not required.

Best of luck!

See you Saturday morning,

Dr. Warnock

Attention! Last minute schedule changes

Attention parents,

Doc wanted me to pass on that there will be NO Jazz band practice tomorrow or Winds practice on Thursday.  Also, if you have a student going to the solo/ensemble competition this Saturday, April 16th, please ask your student for the informational handout Doc provided.

Chaperone assignments

Chaperones,
Thank you so much for your patience.  Attached is the room assignment list for this weekend.  I tried to assign you to your child's room and match male chaperones to boys rooms, women to girls.  With the exception of Jenn Mabrey I was able to do that.  You may want to bring a tote bage of some kind in case your students ask you to hold any of their "stuff" while performing.  This is especially true for those chaperoning the girls!

The kids have worked really hard all year and we want this to be a fun and safe trip for them.  As a chaperone you will be responsible for your students when they are not under the supervision of  Dr. Warnock, Mrs. Bowden or Mrs. Newman.  The students don't want us hovering so we will be using the buddy system.  No buddy- No go!  The only exception to this is the gift shop at Symphony Hall.  There they must be accompanied by and adult and they will go in shifts.  The shop is small and we don't want to overwhelm the staff.  Each bus will have a roster and the students will be checked in with those chaperones accompanying the students on the busses.  I will be one of those.

I am working with the manager at the hotel to have all the rooms assigned prior to the students' arrival on the busses.  I may have to leave the Woodruff Center with Barb Smith for part of the day to do this.  This is why neither of us is assigned students specifically, but we will be available to assist generally during the entire trip.  When you arrive at the hotel I will give you your room key along with those of your students' rooms.  The students will primarily be your responsibility at the hotel until we get on the busses the next morning.  Dr. Warnock has listed the student and chaperone expectations in the packets he sent home last week.

The only addition I am making to that list is a request that while the students are eating at the Varsity, we try to keep everyone in the second floor dining area.  The Varsity is a large fast food restaurant that is generally very crowded on a Saturday night.  I do not require that you sit with your assigned students.  I would like you to have a visual lock on them as best you can.  If they need to use the bathroom or get more food they can do so with a buddy after informing you or another chaperone nearby, and then they must check back in.  By the time we get to the hotel, they should be pros at this.

I would like the students to stay together at the hotel and watch movies.  Some students may not chose to do so.  Their other option is to stay in their room.  Again, they must tell you where they are planning to be.  I may ask some of you to hang out on the floors and watch the kids that choose to stay in their rooms and visit.  We do not want the students to be wandering all over the hotel.  Again, we want the kids to have fun, but we want them to be safe too.

I know this is alot of information.  It really is just the parenting you already do, just with more kids.  Last year went so smoothly and I don't expect any different this year.  Thank you for volunteering.

Atlanta trip chaperones

Chaperones,

I am trying to finalize our plans for this weekend.  Please, if you have not let me know yet that you have already booked your room and you need the Boosters to do so, let me know.  If we book your room for you we will need payment in the amount of $69.95 ASAP.  If you write a check, please make it out to RHWBB.

I currently am looking for a volunteer to pull the trailer.  We have 2 possibilities.  Hopefully, at least one will work out.

Next, I would like to know if any of you plan to ride on the bus to Atlanta with the students?  I am assigning chaperones to busses and am interested in how many parents I have to work with.  If you could include that information in your email to me I would appreciate that as well.

As soon as I get information from the directors about which students are rooming together, I will pass on to you the names of the students you will be primarily responsible for.  If you have any requests, please let me know.

That is all for the time being.  Thank you for volunteering your time.

Urgent! Trailer driver needed to Atlanta

Winds Parents,
Things are finalizing for the trip to Atlanta this weekend.  One HUGE need we have is someone to pull the trailer with the percussion equiptment inside.  Please, if you are going to Atlanta and you have a hitch, would you consider pulling the trailer?

Email me here or call me at 332-6148 and I can discuss with you the specifics.

Thank you,
Kiersten Scooler

Atlanta Parent Meeting

Parents,
Please do not forget that there is a parent meeting for all Winds parents on Thursday following Winds practice.  I hope to see all of you there.  We will be collecting the balance of the cost of the trip at that time as well.

So far I have the following parents listed as chaperones.

Jennifer Mabry (single room)
Dave Miller and Tom Smedley (shared room)
Kevin and Kim Caleca (room already reserved)
Stacie Lindsey
Kurt and Robin Rice
Adrianna Oliveira (room already reserved)
Anna Gizzi
Jim and Bobbie Lynes

I know the Caleca's and Oliveira's have already taken care of their room reservations on their own.  Can you please let me know if you have already done so as well?  You may still do so if that is easiest by contacting the hotel at (770)960-1957.  Tell the reservation agent that you are staying with the Richmond Hill band and they will give you a room rate of $69.95.  As a chaperone you will also need to ask to be placed in the block of rooms reserved for the band students.

We can also include your reservation with ours.  You would just need to pay the Boosters for your room at the same room rate.  Obviously, if you are sharing your room, you will split the rate with your roommate.  Let me know how you plan to take care of your room reservation.

The countdown has begun.

Hotel in Atlanta

Winds Families,
Here is the contact information for the hotel in Atlanta that the band will be staying at.

Quality Inn and Suites
6597 Jonesboro Rd
Morrow, GA 30260

ATTN TIM
770-960-1957

When calling the Quality Inn you must say that you are "with the Richmond Hill band" to get the discounted rate that they are offering.  If you are planning to chaperone you do pay for your own room (I will send that info out in another email to chaperones only.  You can split the cost by bunking with another chaperone.).  We would like to book the chaperone rooms with the students so that you will be located near the band.  If you have already booked your rooms on your own, but you are willing to chaperone, let me know if we can put you on "the list".  Otherwise, your room may be somewhere else in the hotel, away from the band.

Thank you,

Kiersten

Atlanta Chaperones

Winds Families,
I currently have the following parents down as chaperones for the Atlanta trip:

Jennifer Mabry
Dave Miller
Kevin and Kim Caleca
Barb Smith
Kiersten Scooler

These are the folks that have offered to stay overnight at the hotel and supervise the students.  We still would like to have a couple more of you help out.  At least another male chaperone would be nice.  If you are planning to go on the trip to watch your student play anyway, perhaps you could help us out at the hotel?

Please get back to me.  We would like to pass out all the information regarding the trip on March 31 after Winds practice at 5p.m.  See everyone then.

Band Information

Parents,
Just to bring you up to date on Band happenings this week.  We are back to the original practice schedule after school for all groups.

Thank you to all the volunteers, both parent and student, that offered their time to help out at the after school dance.  I do not have a complete list of volunteers or information on how successful our fundraising efforts were, but I will get them to you as soon as I do.  I forgot to include Zachary Bynum as a student volunteer at the skate night.  Thank you Zack for supporting the band!

I appreciate all of the parents that attended the Booster Meeting in March.  As many of you know we took nominations for next year's Booster officers.  Barb Smith was nominated for the position of president.  None of the other current officers are returning for another term.  We currently need people to serve as Vice-President (assists pres. and organizes volunteers), Secretary (minutes taker/publisher), and Treasurer.  Please consider serving as a Booster officer.  Dr. Warnock and Mrs. Bowden do a lot for the band program, but they need Booster support.  I want to thank Amy Landers for her multiple years in various Booster officer positions and Debbie DeMond for serving as secretary for the past 2 years.  You have been wonderful to work with!  We will be electing next year's officers at the April 14th Booster meeting.  Contact me by email if you are interested.

There has been a change in the spring concert schedule.  The 6th grade band will still perform at the PTSO meeting on May 3rd at 6p.m.  The spring concert for ALL bands will be May 5th at 7p.m. in the gym.  I realize this conflicts with the Band Booster meeting at the HS, but there was a conflict for many students on the 12th- thus the change to the 5th.  I hope you all will come and hear how much the students have improved throughout the year.

Have a great week!
Kiersten

Missing Instrument

Parents,
Doc asked that I pass this information on.

We have a missing instrument. It is the contra Eb clarinet. This was used Wednesday night. It is in a long black case.  If you could send this out, maybe someone would know something about its whereabouts.

Please, if anyone recalls seeing this instrument or just a long black case, please reply to this email.

Dance on Tuesday

If you are available to help decorate on Tuesday from 11-1, please sign in at the office and join me in the gym.  Do not arrive before 11, as there will be students still in the gym at that time.  If you have any Wizard of Oz decor or things that would go with the "Emerald City" theme, feel free to bring it.  Some of the students have created a few things, but more is welcome.  I will have their decorations and some crepe paper and tape with me.  I will also be bringing the concessions at this time, and can use help setting up the concession area.  Thank you for helping to make this dance a success with your willingness to volunteer.  Please note, due to the number of students volunteering, we will do 20-30 minute shifts in the concession area.  We can not fit more than 2 students and 2 adults back there comfortably. (Even this might be tight) We will also have a student volunteer at each door to sell tickets. Other students will be asked to go to the dance area and have a great time--so that others will have a good time, thus making the dance a success:-) Parents, we will need you to roam the dance area, both in the gym and the parking lot where the students are allowed.
Thank you so much for everything.  I look forward to seeing you tomorrow!

GMEA Results

Congratulations to the Wildcat Winds and the 7/8 Concert Band.  Both received straight superior ratings at the GMEA festival this week.  Good luck to our 6th grade band who is on their way this morning.  Parents, you have a right to be proud of your students.  Thank you Doc, Mrs. Bowden, and Mrs. Newman for all your hard work

Important Info

To all band members and their families,

The Skate Night fundraiser is this Friday from 7-10.  We would love for your students to spread the word to all their middle school friends and join us for a night of fun!  The cost is $5 and concessions will be available.

We are also sponsoring a dance on Tuesday 3/15 from 3-4:30 in the school gym.  This is for all students at RHMS.  The theme is "The Emerald City" and we have hired a new DJ that plays only student requests.  The kids are excited about this event and we are asking that they spread the word to all of their non-band friends.  It is a fundraiser for the band.  Tickets are $3 and concessions will be available.  We are still in need of 4 parent volunteers from 2:30-5 that day.  If you can help out, please respond to this email.

Thank you,

Concert Band Performance 3/10

Parents,

I'm sorry this message is coming late.  I have been having computer problems all day and I cannot do group mailings from my Blackberry ( that I have figured out anyway).  This message is only for 7th graders NOT in Wildcat Winds or Winds students that play a secondary instrument in the 7/8 band.  They should know who they are if you are not sure.  The band will be performing at 9:30a.m. tomorrow (3/10) at the Fine Arts Building at AASU.  It is free to attend and you all are welcome.

Please have your student wear their black and white uniform to school tomorrow.  They will check in to homeroom and go straight to the bandroom.  Because they are checked in as present at school, Doc and Mrs. Bowden need to emphasize that all students must ride the bus back to school tomorrow following the performance.  You cannot check out your student at AASU.  The students will return to school on the bus and continue with their academic day unless you go to the RHMS office and check them out there.  This "fieldtrip" will really only take up half of their day.

Please pack a lunch for your student.  I know a dozen or so will be getting school sack lunches and that has already been arranged.

Thank you,
Kiersten Scooler

Information for this week- IMPORTANT!

Parents,
Here is the latest info from Dr. Warnock about this weeks schedule.

Winds will meet tomorrow 3/8 at the usual time.

Doc would like the Winds students to remain after school on Wednesday since they will be needing to load the bus for Armstrong at 4:30.  All Winds students will need to bring their uniform to school that day.  I will bring a hanging rack so they can hang their uniforms during the school day.  Please have your students uniform LABLED!  If your student must come home after school on Wed., please have them back at the bandroom by 4:20.  All Winds students MUST ride the bus to AASU.  You may take your student home after the performance (about 6p.m.) as long as you provide Doc with a written note.  Otherwise, the students should be returning back to RHMS by 7:30p.m.

Please pack a snack for your student for after school on Wed.  They will certainly be hungry and can use the time between dismissal and loading the bus to fill up their stomachs.

There will be no Winds practice on Thursday this week.

See you at the meeting tomorrow at 7 in the Bandroom.

Poster Making for the Dance

Want to help volunteer, but can't make the dance or skate night?

We will be making posters for the dance this Sunday from 2-4 at my house (39 Shady Hill Circle in Main Street). If you want to help make posters to hang around the school to let others know about the dance, feel free to drop in and make a poster.  This is a great chance to get your kids involved in our fundraising efforts.  I have all the supplies at my house, I just need some creative kids (or adults) to make the posters.  Any questions, feel free to call me at home - 445-0354 or on my cell at (913)240-8116.

Band Booster Meeting - March 8th (Thursday) - 7pm - Bandroom

Attention Parents,
Our next band booster meeting will be next Tuesday, March 8th at 7 p.m. in the bandroom.  This day change was necessary since the bands will be participating in the Large Group Performance Evaluations on Wed, Thurs, and Friday.  Please take time to review the minutes from February's meeting.  We will be taking nominations for next year's band booster officers at this meeting.  Please give this matter careful consideration.

Thank you,

Atlanta Trip - Chaperones

Winds Parents,
We do need to start collecting names of parents that are willing to be chaperones for the Atlanta trip (April 9-10).  You will need to pay for your hotel room (you may share a room with another chaperone if you wish) and your food.  There will be no other expenses for you and you should be able to ride one of the busses if you wish.

Specifically, we need parents who are willing to coordinate the Saturday morning breakfast on the road and another to plan the entertainment/refreshments at the hotel.  If you are willing to serve in either of these capacities, please note that when you volunteer to chaperone.

Thank you,
Kiersten

Atlanta Trip Cost Update

Dear Parents,
I apologize for giving the wrong information yesterday. The cost of the trip, if you are not spending the night, is $105 per student, not $88 per student.  I was using the wrong information to determine the cost.  We still need all but $20 of that paid by March 5th.  We are hoping to defray the cost of all who volunteer by at least $20 depending on the fund raisers.  Thank you for all of your help and I ask your forgiveness for sending out the wrong information yesterday.  Once again though, please let us know if you will not be spending the night, so that we can reserve the correct number of rooms.

Sincerely,

Barb Smith
Treasurer

Atlanta trip fees are due-from the Treasurer

Dear Winds Parents,
The first payment (of $50) for the Atlanta trip was due on Feb 20th.  If you have not yet made your payment, please do so as soon as possible. The next payment of $50 is due on March 5th.  It is mandatory for your child to ride the bus to Atlanta, but you may take them home after the awards ceremony.  If your child will not be spending the night, please let us know as soon as possible, as we need to put a deposit down on the hotel.  The cost for the trip, if the student is not spending the night, is $88.  We will need $68 paid by March 5th. Adults, wishing to stay the night, are welcome to join us at the Quality Inn and Suites in Morrow, GA.  When calling, ask to be put with the Richmond Hill Middle School Parents group, and this will get you the room discount. Please remember, we are sponsoring a skate night on March 11th and the dance on March 15th.  If you want your child to receive part of the discount towards overall costs, then please have them available to volunteer for at least one of these events.  We still need parent volunteers for both of these events as well. If the fund raisers are not as successful as we hope, the final payment will be due on March 23.  We will let you know how much will still be due, after we have tallied the profits from the fund raisers. Thank you in advance for your help and participation.

Atlanta Trip Info

Parents,

I want to give you a heads up on the payment schedule for the Atlanta trip.  The trip will cost $120 per student.  The first $50 is due February 20th.  The second payment is due March 5th.  Following our fundraisers in March we will let you know what part of the final $20 balance will be due on March 23rd.

If you wish to chaperone you will also need to pay for your room (single or double).  Amy Landers will have those figures for you soon.  I just don't have them in front of me at this time. You may also reserve a room at the band rate if you want to go to Atlanta but you don't wish to chaperone.  Amy will give you the phone number and info on that as well.  She can be reached at this email or at landersamy@msn.com.

I will be in touch again with more information when I return home from Colorado.

Middle School Skate Night Fundraiser - March 11 from 7-10pm

Band Parents,
At Thursday's band booster meeting the members in attendance approved a fundraising idea presented by fellow band parent, Stacie Lindsey.
Stacie has arranged with the Richmond Hill Rec Center for the band to sponsor a skate night on Friday, March 11 from 7-10pm for middle school students.
The Boosters are looking for at least 10 parents to chaperone on the night of the skate and a few more to work the concession area.  In advance of the skate night, we are asking for a couple of parents to help promote the event at school (reader board, posters, PA announcements).
Please reply to Stacie Lindsey at stacie.lindsey@hotmail.com.
We expect this to be very successful for the band.  Our skate night will be the first of this year!
Thank you Stacie for your work in putting this together.

Congratulations from Dr. Hoyt LeCroy

Wildcat Winds Parents and Students,
Below is a copy of the email sent to Dr. Warnock  from Dr. Hoyt LeCroy.  Doc wanted you to see it.  You should be proud of your performance and how your represented yourselves, your music program, your school, and your community.  You made an impression!

Dear Dr. Warnock and members of Wildcat Winds:

Congratulations on your outstanding performance at last week's inservice conference of Georgia
Music Educators Association!  It is among the highest of honors for a band to serve as a model for
music educators from the state of Georgia.

As one of your guest conductors, I was honored to have the opportunity to observe your dedication
in rehearsal.  Your polished performance on stage was made possible by long hours of devotion to
the cause of excellence.

I know that you have more achievements ahead during this academic year.  My very best wishes are
extended as you ascend to new heights.

As you perform, never forget that your music inspires people whom you will never meet.  You bring hope
to the world.

Congratulations to each of you, and thank you for allowing me to be a part of your memorable performance
at GMEA 2011 !

Chaperones for Thursday - GMEA

Parents,
As I explained at the Booster meeting last Thursday, Doc is not able to take chaperones on the bus with the students since it will be full.  However, he has asked we have at least 11 chaperones to escort the students into the expo following lunch.  Each parent would be responsible for 3-4 students.  I would suspect that your group would consist of your child and 2 or 3 of their friends.  If some of you could follow the bus in the morning to help unload the trailer and help the boys with bow ties prior to their performance, your extra hands would be welcome.

These are the parents who have contacted me about helping:
Herrington
Hollowell
Glasscock
Costello
DeMond
Longoria
Mabrey
Russell
Watson
Caleca
Laws
Warren
Magee
Lynes

If I have missed anyone, it's not too late.  Thank you in advance to all of you parents for your time.  Please be at the school by 8:15.  If we run ahead of schedule, I don't want anyone to miss the car caravan.(It happened to me last year on the Atlanta trip, and I rode the bus!)  Ride sharing is encouraged.  If you need a ride or have room in your car, perhaps you could pair up and save on parking and gas.

Thanks again for all of your support.

RHMS Band Blog

Parents,
One of our parents, Adriana Oliveira, has graciously put together a blog with all the band information and schedule on it.  It is a work in progress, but if you are looking for information quickly and you don't want to sift through all your old emails from me, or you think you may have deleted something, please know the information is posted somewhere else as well.

Let us know if it is helpful.

Winds information - GMEA Jan 27

Winds Parents,
Just a couple of notes.  Please return your student's permission slip and lunch intention form back to the school ASAP.  I am coordinating with the cafeteria and they need to know if they need to order extra sack lunch fixings for that day.

Next, if you have more people that are interested in attending the concert, they may do so without a ticket/wristband.  A wristband is only required to get into the expo.

Regarding chaperones.  Even though we will not be able to put chaperones on the bus, Doc is asking for chaperones to accompany the students into the expo.  They will only have 15-30 minutes to be in the expo depending on how long it takes them to eat lunch.  If you are still interested in chaperoning, we could use your help for this short period of time.

Doc is also calling all dads who will be attending the concert that morning to assist with unloading the trailer if you are able.

Lastly, don't forget the students have practice this Friday from 3-5 and Saturday from 9-12.

Thank you,
Kiersten

High School Booster Presentation
Shereen Nethery, Tom Landers and Lyn Seifert came to inform the parents of the 8th grade students about the band and marching band program at RHHS.
-Rookie Camp will be held around the end of April/beginning of May (watch for a letter from Dr Keine)
-Band Camp will held the last two weeks in July from 8-4:30 each day.  There will also be a uniform fitting.
-Cost-      The exact fee for marching band is not determined at this time because they are still working on next years budget.  The fee includes the expense of having the drills, formation and music composed, the expense  to attend about three competitions, possible overnight stays, 2 t-shirts, one pair of gloves, and uniform dry cleaning fees.  Bandos (marching shoes costing $25.00) also need to be purchased. There will be monthly installments beginning in April.   (For example: last years fee was $300.00 for each student and parents were asked to pay $100.00 each month during April, May and June.  Bandos are additional $25.00).  Financial needs can be discussed with the Boosters.
-Volunteers are vital to this program.  You will be asked to volunteer for camp, games, competitions etc.
-After school practices are required.  Typically practice has been on Monday, Tuesday and Thursday from 3:00-5:30pm.  The students also get instruction during band class.

Dixie Classic
– The Dixie Classic takes place in Atlanta, GA on Saturday April 9, 2011.
-We discussed the trip and if we should spend the night.  The cost of an” up and back in the same day trip” would be around $100-110 per student plus food and spending money versus an overnight stay costing around $150 per student  plus meals and spending money.  A vote was taken and the majority would like to see the trip be an overnight.
-Fundraising- A possible school dance was discussed to help lower the cost of the trip.  We welcome any other fundraising ideas.

The meeting was adjourned at 8:08 pm.
Respectfully Submitted,
Debbie DeMond-Secretary RHWBB
